SharePoint authoritative sites: useful if you’re running Copilot

Microsoft’s new SharePoint feature lets you flag trusted content for Copilot to prioritise, worth knowing about if your business has Copilot licences active.

Microsoft has quietly added something called ‘authoritative sites’ to SharePoint, and if your business uses Microsoft 365 Copilot, it’s a feature worth understanding.

The idea is simple enough. If your company stores policies, procedures, or important documents across multiple SharePoint locations, you can now mark specific sites as the official versions. When a staff member asks Copilot something like “What’s our holiday approval process?” or “Which version of this contract template are we using?”, the AI will pull from your marked sites first, rather than surfacing an older document or something that’s since been superseded.

Does it apply to your business?

Here’s the honest answer: only if you’ve actually licenced Microsoft 365 Copilot. The standard Microsoft 365 subscriptions that most businesses run on won’t be affected by this change at all. Authoritative sites is purely a Copilot feature. If you’re not using Copilot, you can move on.

If you are using Copilot, the practical value is real. A legal firm in Denbigh with multiple years of client document templates can mark the current ones as authoritative, so staff get the right version without having to know where to look. An accountancy practice in Mold checking tax year procedures gets current guidance, not something from two years ago that’s still sitting in an archived folder.

The feature rolled out from mid-May 2026 and reaches full availability by late June. It’s off by default, doesn’t change anyone’s existing permissions, and is configured via PowerShell or the Microsoft 365 admin centre. Nobody sees anything they weren’t already allowed to see, it’s just a signal to the AI about what to trust.

As the r/Office365 community notes, content from authoritative sites gets prioritised in both Copilot Chat responses and Copilot Search results, a small config change with a meaningful impact on answer quality.

If Copilot is already part of how your team works, keeping your SharePoint content well-organised becomes more important, not less. The AI is only as useful as the documents it draws from.
